Personal Characteristics

The SSYIS Operations Manager oversees the operational setup and ongoing operations of the Shenzhen Shiyan International School.

He/she is a high-energy, dynamic leader driven by a strong vision of outstanding operational performance. Her/his effective leadership is defined by integrity, clear and open communication, high standards, and an understanding of the needs and interests of SSYIS’s management and school board, students, parents, and fellow employees.

She/he has a strong commitment to quality and sharing best practices in school management.

She/he has the right combination of communication and interpersonal skills necessary for working effectively with administrators, staff, suppliers, regulators, and SSYIS’s management.

He/she has a proven ability to understand, develop, and work within a budget. Knowledge of and experience using information technology tools is a plus, as is a working knowledge of English.

Line management

The Operations Manager is a member of the SSYIS Senior Leadership Team and is line-managed by the Superintendent or the designated School Representative.

Responsibilities

The Operations Manager oversees the organizational and operational functions of the schools; (s)he formulates the SSYIS schools’ operational plans, programs and helps develop budgets; he oversees the day-to-day operation of the school by working with the Superintendent, Executive Principal and key staff.

The Operations Manager’s primary responsibility is to ensure SSYIS’s organizational effectiveness at all stages of its development. Her/his role is to maintain and improve operational efficiency in the delivery of a world-class education and smooth day-to-day internal operations.

(S)he line manages SSYIS’s operational teams day-to-day (administration, catering, cleaning, maintenance, security), helping solve issues as they occur and providing onsite assistance. (S)he supervises, trains, monitors, and motivates the teams and ensures they adhere to timelines and plan ahead of time.

(S)he liaises with Finance, Human Resources and Marketing, and supports them in working with their functional reports. (S)he helps coordination and communication between support and business functions.

(S)he aligns the use of resources (time, people, funding) in multiple locations, to support the school’s academic and financial performance targets.

(S)he develops and improves existing operational systems and processes. (S)he identifies, prioritizes and implements organizational strategies, policies and practices appropriate to achieve SSYIS’s objectives.

(S)he contributes to establishing, and overseeing the implementation of, and compliance with operational procedures, rules, and standards relating to students and staff.

(S)he promotes effective communication up and down, implements suitable management reporting systems and ensures that information flows reach their intended targets in a timely and accurate fashion.

The Operations Manager is proactive, not reactive, identifying issues ahead of time. (S)he recognizes issues and applies resourcefulness in finding appropriate solutions to issues before and when they arise, and follows through, ensuring effective solutions. He/she implements resolution strategies to address them at the lowest possible cost in terms of resources.

(S)he projects, promotes and implements SSYIS’s values of integrity, responsibility and excellence.

Planning and Analysis

The Operations Manager leads the development of the SSYIS operational plan, setting the direction for the school’s development and geared toward operational excellence over the coming 3 years, ensuring that it reflects SSYIS’s philosophy and objectives.

(S)he takes a leading part in financial and physical planning, including the development and presentation of budgets and expansion programs, and recommends their adoption by management.

(S)he encourages perspective via comparisons with similar institutions, and external analyses and critiques. He remains abreast of trends and research in education, particularly those affecting private and international school operations in China.

He contributes to developing the school’s strategic development plan.
Personnel

(S)he helps define the professional and staff positions needed to implement SSYIS’s development plans. Together with the Human Resources department, (s)he coordinates the recruitment of highly effective SSYIS managers and operational staff. He helps design and implements recruiting platforms and processes.

(S)he coordinates with the Finance and Human Resource departments on budgeting, salary and benefits scale and content.

(S)he monitors productivity and develops performance and evaluation systems allowing identifying over- and underperforming staff. He helps set guidelines for personnel evaluations, recruitment and advancement.

(S)he helps establish a productive working conditions, discipline, training and development programme for staff members. (S)he designs and implements professional development strategies that address the individually identified needs of all.

(S)he provides strong, effective leadership that motivates and promotes team-building and creates a positive work environment, with a healthy sense of humour.

(S)he must be able to work under significant time and operational pressures, and be able to coordinate a variety of projects simultaneously.

(S)he assists in marketing the schools and programmes, including contributing ideas and participating in promotional and educational events.

(S)he may be required to become a member of SSYIS’s school board and, when necessary, represent the school to the student and parent community.

(S)he is expected to exercise judgment and discretion in handling sensitive and confidential issues.
